Job description: Reporting to the General Manager, the office administrator has the proven ability to manage office workflow, has exceptional attention to detail and is comfortable communicating with clients and technical staff on a timely and professional basis. The office administrator enjoys working independently, can solve problems and thrives in an environment where job priorities change continuously. Roles and responsibilities include: Reception: • Directing all communications from our phone and from the general email account • Answer incoming calls and making outgoing calls • Receiving organizational calls and emails from field staff • Distribution of incoming mail and responsible for outgoing mail • Booking appointments and booking travel arrangements Administration: • Coordinating with BC Hydro • Preparing contract documents • Preparing invoices • Communication with prospective clients including sending an information package by email and following up with the prospective clients subsequently • Communication with clients to coordinate scheduling of phone calls or online meetings • Filing, including set up of job folders, and initial set up in Monday.com • Scheduling of field staff with the General Manager • Managing inventory of office supplies • Running reports as required • New employee administrative onboarding • Vericlock administrator Required skills: • Proficient with Microsoft Office Suite (Word and Excel) • Clear verbal and written communication • Ability to work independently and as a team member • Ability to solve problems • Excellent organizational skills
