Job description ADMINISTRATIVE ASSISTANT/ BOOKKEEPER RESPONSIBILITIES Supportive team member . Produce and distribute correspondence memos, letter, and emails. Maintain filing system Provide support to front staff such as taking orders from customers etc. Answer phones when front end staff need help. Type up quotes and invoices produced by project leads and email clients Producing statements for clients on account. Following up on clients in a timely manner with over due amounts. Process accounts payable/ receivables in a timely manner Entering costs to jobs to create a job cost summary Balancing and paying Visa statements Posting daily payments each day Balancing petty cash monthly Prepare year end reports for accountant Maintain contact lists Preparing PST report and paying on line. Working closely with general manager, owners and project leads REQUIREMENTS Proven bookkeeping and administrative experience Proficent in Sage Knowledge of office management systems and procedures Solid understanding of basic bookkeeping and accounting payable and receivable principles Proven ability to calculate , post and manage accounting figures and financial records Data entry skills along with a knack for numbers Good time management skills Answering phones when needed . Knowledgeable in Outlook, Excel & Word Customer service orientation and negotiation skills in a professional manner High degree of accuracy and attention to detail. Strong organizational and planning skills Team orientated attitude with working together to better get the job done and make the customer happy.
