📝 Job Summary: We are looking for a dynamic Operations & Client Support Coordinator to join our rapidly growing construction company. This role is key to supporting our 24-hour emergency service operations, managing client care, appointment booking, service dispatch, and assisting project managers with ongoing construction projects. The right candidate will be a detail-oriented and proactive professional who thrives in a fast-paced environment, ensuring that both our clients and internal teams are supported with the highest level of service and efficiency. Key Responsibilities: Emergency & Service Dispatch Support: Coordinate and dispatch service technicians for emergency and scheduled service calls 24/7. Ensure technicians are equipped with all necessary details before arriving on-site. Client Appointment & Follow-up: Book and confirm client appointments, ensuring all details are accurate. Follow up with clients post-service to ensure satisfaction and address any concerns. Project & Construction Support: Assist project managers with coordinating construction projects, tracking milestones, and managing documentation. Help manage permits, liaising with relevant authorities to ensure compliance. Account Receivables & Financial Support: Support accounts receivable tasks, including processing invoices and tracking payments. Assist in collecting deposits, final payments, and ensuring timely billing. Payroll & Administrative Support: Help with payroll processing, ensuring timely and accurate employee compensation. Assist with managing administrative tasks like maintaining project files, timesheets, and financial records. Subcontractor Coordination: Book and schedule subcontractors to ensure proper alignment with project timelines and client needs. Ensure all subcontractor schedules are coordinated and confirmed. Client Care & Satisfaction: Communicate regularly with clients to ensure expectations are met and exceeded. Act as a liaison between clients and service teams to resolve any issues promptly. Project Documentation & Reporting: Assist with creating and managing quotes, project estimates, and final payment documentation. Ensure all work orders, project timelines, and payments are documented accurately for project managers. Qualifications: 2+ years of experience in administrative or operations support, preferably in construction or service industries. Strong organizational skills and the ability to manage multiple projects simultaneously. Excellent communication skills, both written and verbal. Ability to work in a fast-paced environment, particularly with emergency and time-sensitive tasks. Tech-savvy with proficiency in office software (e.g., MS Office, Google Workspace) and the ability to learn new project management tools. Experience with client care and follow-up processes is a plus. Ability to work collaboratively with cross-functional teams, including project managers and subcontractors.
